Office Manager / Staffing Coordinator

Location: Washingtonville

All About Kids is looking to hire an Office Manager/ Staffing Coordinator for our Washingtonville office located in Hudson Valley, NY.

Job responsibilities for this position will include, but not be limited to: 

  • Provide full office support, to include: data entry and related workflows, answering phones, ordering of supplies, coordinating maintenance of office equipment, maintain and update staff lists and phone directories, etc.
  • Coordinate and perform the successful staffing of therapists for new EI and PS clients in Orange, Ulster and Dutchess and other related counties.
  • Coordinate Human Resources information: Coordinate hiring activities, work with all new hires to complete on boarding paperwork including, but not limited to, running State Clearance checks, etc.
  • Manage physical and electronic files for employees and clients to ensure compliance of documentation, including but not limited to: Tracking all expiring prescriptions, IEP's, IFSP's, certifications, licenses and continuing education for all files.
  • Create and distribute confidential reports and child charts.
  • Review, verify accuracy of and submit billing invoices to County offices, school districts and private clients.
  • Demonstrate with excellence, proficient use of and responsibilities in utilizing known computer systems: CLAIMS, NYEI System (NYEIS), IEP Direct, Kinney, etc.
  • Learn AAK required systems with proficiency, including: Fluent Stream Phone System, Docuware ERS, Clear Company HR System.
  • Implement operations in accordance with AAK Policies and Procedures, as well as all State and Local regulations
  • Support outreach program by identifying potential referral sources, conducting outreach activities, participating in community forums, fairs and conferences, etc.
  • Supervise and schedule administrative assistants in general office work, if applicable.


  • Ability to multi task in a fast paced environment 
  • Provide a high level of customer at all times
  • Possess an optimistic "can do" personality 
  • Experience in Early Intervention, Education, School Administration, or Staffing Agency
  • Learn or demonstrate solid understanding of computer Systems, including: MS Word, Excel, Outlook, CLAIMS, New York Early Intervention System Knowledge of (NYEIS), Kinney, IEP Direct a huge plus
